What do my dues pay for?

Administrative Costs & Services:
Insurance

Title Company reporting
Management Fees

Maintenance of Common Areas:
Mowing and chemical treatments to perimeter grounds

All services depend on the annual budget. Services can be added or removed based on the budget

Annual Assessment Policy

Created July 2019. Revised June 2020.

This policy has been established in accordance to the Declaration of Restrictions that governs the Claybrook Homeowners Association. Article IX provides the method of providing general funds. Article X identifies the Association’s right to collect the assessments. Based on this information the Board of Directors have established the following collection policy:

Collection Policy

Assessments are due on January 1 of each year. A statement will be mailed to each lot of record each year. The board will make every effort to mail the statement not less than 30 days prior to January 1 of each year. The assessment will be due on January 1 of each year. Each lot owner will need to make payment on or before January 1 of the year received. In the event the lot owner fails to make payment, the HOA will take the following action:

30 Days Past Due: Two board members will reach out to remind residents that they are late with their annual dues. A late letter will also be generated with no late fees or interest applied with this first notice.

45 Days Past Due: A second late letter will be generated with late fees and interest applied.

60 Days Past Due: Once again, two board members will try to reach out to residents to hopefully prevent the Claybrook HOA from having to go to court. A Letter of Intent to proceed with legal action if not paid in 10 days will be generated and sent via certified mail.

90 Days Past Due: Board review for legal action and lien filing.

All collection cost, filing fees, etc. associated with the collection of assessments will be added to the account of the delinquent owners.

** Claybrook Homeowner Association, through its Board of Directors, reserves its right to alter timeline
under circumstances that it determines are just in the board’s sole discretion. **
